01 Scope & Subject Matter
These Terms govern the contractual relationship between danceroam and participants who book retreat experiences through danceroam.com or any affiliated booking channel. They apply to all users, visitors, and purchasers. Any deviating terms and conditions on the part of the customer are not recognised unless we have expressly agreed to them in writing.
The retreats are dance travel experiences — boutique, curated, capacity-limited. Each retreat program, including its content, instructors, schedule, and itinerary, is described in full in the respective retreat offer on our website.
02 Booking & Contract Formation
The presentation of retreats on our website constitutes an invitation to book, not a legally binding offer. A binding contract is formed upon completion of the booking process and receipt of full payment. You will receive a written booking confirmation by email, which constitutes acceptance of your booking by danceroam.
By completing a booking, you confirm that you are at least 18 years of age, that all information provided is accurate and complete, and that you are authorised to accept these Terms on behalf of any additional participants included in your booking.
The total retreat price is due in full at the time of booking. Your spot is only secured upon receipt of full payment. Accepted payment methods are listed at checkout.
03 Cancellation, Transfer & Refund Policy
Cancellation by the Participant
All cancellations must be submitted in writing via email to info@danceroam.com. The date of receipt of your written cancellation is the determining date for the applicable fee schedule below.
Any refund due will be processed within 14 days of the cancellation confirmation, to the original payment method.
Transfer of Participation
You may transfer your spot to another person up to 30 days before the retreat start date, provided the replacement participant meets any stated eligibility criteria and we have given our express written consent. Both parties should contact us directly. An administrative fee of 50.- applies for transfers. Transfers are not permitted within 30 days of the retreat.
Cancellation by danceroam
danceroam reserves the right to cancel a retreat in the event of insufficient bookings, force majeure, or any other circumstances that render the retreat impossible or unreasonably impractical to deliver. Where possible, participants will be notified no later than 6 weeks prior to the retreat start date.
In the event of cancellation by danceroam, participants will be offered one of the following remedies at their election:
(a) a full refund of all amounts paid, processed within 14 days to the original payment method;
(b) a credit voucher for the full amount paid, valid for 24 months and redeemable against any future danceroam retreat; or
(c) a transfer to an alternative danceroam retreat of equivalent or greater value, subject to availability.
danceroam's liability in the event of cancellation is limited to the amounts paid by the participant for the retreat. We accept no liability for ancillary costs incurred by participants, including but not limited to flights, visas, travel insurance, or accommodation booked independently.
04 Travel Insurance
Travel insurance is mandatory. Every participant is required to hold valid travel insurance covering at minimum: cancellation and interruption, medical emergencies and repatriation, and personal liability. Proof of insurance may be requested prior to the retreat. danceroam accepts no liability for any costs arising from inadequate or absent insurance coverage.
05 Changes & Force Majeure
We plan our retreats carefully and in full. However, unforeseen changes may be required. If we need to substitute an instructor, modify the schedule, or change hotel arrangements, we will provide a comparable or superior alternative. A substitution of this kind does not give rise to a right of cancellation or refund unless the overall character of the retreat is materially altered.
If the retreat must be cancelled in its entirety due to circumstances beyond our control — including but not limited to natural disasters, volcanic activity, pandemics, political instability, or governmental restrictions — danceroam will make every reasonable effort to secure a full refund of amounts paid to third-party providers, including the retreat hotel.
However, where danceroam has already remitted payments to third-party providers (including but not limited to hotel accommodation, venue hire, or contracted services) and those providers do not return such payments due to their own force majeure policies or contractual terms, danceroam's obligation to refund participants is limited to the net amount actually recovered from those providers. In such cases, danceroam will distribute any recovered amounts to participants on a pro-rata basis within 30 days of receipt, and will provide participants with written documentation of the unrecovered costs upon request.
danceroam accepts no liability for any ancillary costs incurred independently by participants, including flights, visas, travel insurance, or private accommodation. Participants are strongly advised to take out comprehensive travel insurance that includes cancellation cover for force majeure events, as this is the appropriate instrument to cover losses that fall outside danceroam's control and recovery capacity.
06 Health, Fitness & Personal Responsibility
Participation in danceroam retreats — including dance workshops, social dancing, excursions, and physical activities — takes place at the participant's own risk. You confirm that you are in good physical health and capable of participating in the activities offered. If you have any medical conditions, injuries, or limitations that may affect your participation, you must inform us in writing before booking.
danceroam is not liable for injury, illness, or accident arising from a participant's own behaviour, negligence, or failure to follow instructor guidance. Participants are responsible for their own safety during free time and excursions that are not part of the organised program.
07 Conduct & Community Standards
danceroam is a curated experience built on respect, growth, and genuine connection. All participants are expected to engage with fellow participants, instructors, and hotel staff with courtesy and respect.
danceroam reserves the right to remove any participant from the retreat — without refund — if their behaviour: disrupts the experience of other participants; constitutes harassment, discrimination, or abuse; causes damage to property; or violates the reasonable guidelines communicated before or during the retreat.
08 Photography, Video & Media
Photos and video footage may be captured during the retreat for use in danceroam's marketing materials, social media, and website. By participating, you grant danceroam a non-exclusive, royalty-free licence to use such materials featuring you.
If you prefer not to be featured in public-facing materials, please notify us in writing before the retreat begins. We will make every effort to accommodate this request. This consent may be withdrawn at any time for future use; existing published materials cannot be retroactively removed in all cases. Withdrawal requests should be sent to info@danceroam.com.
09 Limitation of Liability
danceroam's liability is limited to direct, foreseeable damages caused by gross negligence or wilful misconduct on our part. We are not liable for indirect, consequential, or incidental damages, including but not limited to loss of enjoyment, loss of earnings, or costs arising from travel disruptions.
Our total liability in any case shall not exceed the total amount paid by the participant for the relevant retreat. Nothing in these Terms limits liability where prohibited by applicable Swiss law.
10 Governing Law & Jurisdiction
These Terms and any disputes arising from or related to them are governed exclusively by Swiss law, excluding its conflict-of-law rules. The place of jurisdiction is Basel, Switzerland.
If you are a consumer resident in the European Union, you may also be entitled to the mandatory consumer protection provisions of your country of residence.
11 Amendments
We may update these Terms at any time. The version in effect at the time of your booking is the version that governs your contract with us. Any material changes will be published on danceroam.com.
